Free nonprofit AI policy template

Even if your policy is "don't use AI," you have to have one.

Your staff are already using AI. Some of them are like me and will do what they want. A one-page policy gives everyone the same answer to three questions. This free nonprofit AI policy template fits on one page. Download the Word file, fill in the blanks, and have it in front of your team this week.

How it works

Three questions for every AI task.

I think of AI as an intern who knows best practices from an unknown year. Useful, never unsupervised, and it only knows what you feed it. So the policy asks the same three things you'd ask about a new intern.

01

What's encouraged?

The monotonous work: drafting internal notes, summarizing, formatting, reminders. Say yes to these out loud so staff stop hiding what they're doing.

02

What needs approval?

Anything that goes out under your name, new tools, and AI that acts on its own. Grant narratives and donor appeals stay human.

03

What's off limits?

Donor and client data in free tools, confidential HR and health information, and final decisions about people. Free tools train on your data. Get the paid account, centralize it, and write the rule down.

Who it's for

Built for small nonprofit teams without a policy yet.

01

Executive directors and development directors

You know your staff are using AI and you want one page you can hand them on Monday.

02

Boards that keep asking about AI

A short written policy gives the board something concrete to review instead of a vague "we're looking into it."

03

Teams of one to a few dozen

It covers everyday staff use of tools like ChatGPT, Claude and Copilot. If you're running AI that sends, posts or updates records on its own, you'll need more than one page, and the Agentic Governance Framework covers that.

Questions

Nonprofit AI policy FAQ

01

Does a nonprofit need an AI policy?

Yes. Even if your policy says no AI at all, you still need one, because your staff are already using it. A one-page policy tells them what's encouraged, what needs approval, and what's off limits.

02

What should a nonprofit AI policy include?

At minimum: which AI tools are approved, what staff can use AI for freely, what needs a manager's approval, what is off limits (especially donor and client data in free tools), who to ask, and when the policy gets reviewed.

03

Is this template free?

Yes. Enter your email to download the one-page template as an editable Word file. It also opens on the page so you can print it or save it as a PDF.

04

What about AI agents that act on their own?

This template covers everyday staff use. AI that sends emails, schedules follow-ups or updates records on its own needs more than one page. That's what the Agentic Governance Framework Kit covers.
